CoachBridge is committed to protecting your privacy and handling personal data with care, transparency, and respect, particularly given the sensitive and trust-based contexts in which coaching takes place.

This Privacy Policy explains what personal data we collect, why we collect it, how it is used, and your rights under applicable data protection laws, including the EU General Data Protection Regulation (GDPR).

CoachBridge operates an online platform that connects clients with coaches and works with individuals and institutions (such as universities, companies and health or wellbeing organisations) that fund or support access to non-clinical coaching.

For the purposes of data protection law, CoachBridge acts as a Data Controller for personal data processed through the platform.

What Data We Collect

We collect only the data necessary to deliver ethical, accessible, non-clinical coaching services.

a) Information you provide directly

Depending on your role (client, coach, or institutional contact), this may include:

  • Name and contact details (e.g. email address)
  • Language, time zone, and availability
  • Intake or onboarding responses (e.g. goals, preferences, communication needs)
  • Scheduling and attendance information
  • Feedback and evaluation responses
  • Consent and agreement acknowledgements

b) Coaching-related information

  • Session attendance (dates and duration)
  • Non-clinical self-assessments or reflections
  • High-level coaching themes recorded in a minimal, factual, coaching-focused way

CoachBridge does not collect, store, or process diagnostic, medical, or therapy records. Coaching delivered through CoachBridge is non-clinical and complementary to, but not a substitute for, medical or therapeutic care.

c) Voluntary information about diagnoses or neurodivergence

CoachBridge may invite clients to voluntarily share information about diagnoses or self-identified neurodivergent traits (such as ADHD or autism) only where the individual chooses to do so and provides explicit consent. This information is:

  • Entirely optional
  • Never required to access coaching
  • Used solely to support thoughtful coach–client matching
  • Not used for assessment, diagnosis, or clinical decision-making

CoachBridge does not verify diagnoses and does not collect diagnostic reports or clinical documentation.

d) Technical data

  • IP address
  • Device and browser type
  • Basic website usage data (e.g. logs, cookies)

Special Category Personal Data

Some information you may choose to share (for example, relating to neurodivergence, wellbeing, or executive-function challenges) may be considered special category personal data under GDPR.

CoachBridge processes special category personal data only where you have given explicit consent, and only for clearly defined purposes related to coaching delivery, matching, or agreed evaluation activities.

You are not required to provide this information, and you may withdraw your consent at any time.

Legal Basis for Processing

CoachBridge processes personal data on the following legal bases:

  • Explicit consent — for all special category (sensitive) personal data
  • Contractual necessity — to deliver coaching services you have requested or agreed to
  • Legitimate interests — to operate, improve, and safeguard the platform, where these interests do not override your rights
  • Legal obligation — where required by applicable law

Where consent is the legal basis, it may be withdrawn at any time.

How We Use Your Data

We use personal data to:

  • Coordinate and deliver coaching services
  • Match clients and coaches in a thoughtful, human-led way
  • Communicate with users about scheduling, support, and updates
  • Support supervision and quality assurance for coaches
  • Produce anonymised and aggregated insights for institutional partners
  • Improve accessibility, inclusion, and service design
  • Meet ethical, safeguarding, and legal obligations

Matching Process and Use of Technology

CoachBridge currently matches clients and coaches through a human-led process, informed by information shared voluntarily by users (such as goals, preferences, language, availability, and — where explicitly consented — high-level neurodivergence-related information).

Any use of technology in this process is supportive and administrative in nature. Final matching decisions are made by humans.

CoachBridge is exploring the future use of AI-supported tools to assist with matching and service improvement. If and when such tools are introduced:

  • they will be used only as decision-support, not for automated decision-making
  • humans will remain in the loop at all times
  • no automated decisions with legal or similarly significant effects will be made
  • users will be informed in advance, and this Privacy Policy will be updated accordingly

Who We Share Data With

We share personal data only where necessary and appropriate.

a) Coaches

Coaches receive access only to information relevant to their coaching relationship and are bound by confidentiality and ethical agreements.

b) Institutional partners

Institutions (such as universities or health and wellbeing organisations) receive only anonymised and aggregated data relating to participation, engagement, or high-level themes. They do not receive:

  • Session notes
  • Personal disclosures
  • Identifiable personal data

unless explicit consent has been given.

c) Service providers

We use GDPR-compliant service providers for hosting, scheduling, CRM, and analytics. All providers are located in the EU/EEA or operate under appropriate safeguards.

CoachBridge does not sell personal data.

Data Storage and Security

  • Data is stored on GDPR-compliant European servers
  • Access is restricted to authorised personnel
  • Appropriate technical and organisational safeguards are in place
  • Coaching notes are minimal, factual, and non-clinical

Data Retention

We retain personal data only as long as necessary:

  • Active users — for the duration of participation
  • Coaching records — for a limited period after completion
  • Anonymised data — may be retained for research, evaluation, and impact reporting

You may request deletion earlier (see Section 10).

Your Rights Under GDPR

You have the right to:

  • Access your personal data
  • Rectify inaccurate data
  • Request deletion
  • Withdraw consent at any time
  • Restrict or object to processing
  • Request data portability
  • Lodge a complaint with a data protection authority

Coaching Is Not Healthcare

CoachBridge provides non-clinical coaching services.

  • We do not provide medical or mental-health treatment
  • We do not diagnose conditions
  • We do not provide crisis intervention

Where appropriate, coaches may encourage clients to seek other forms of support.
